What we collect, why we collect it, and what we do with it.

Internal note - not for launch. This is an honest first draft describing what the site actually does. It has not been reviewed by a lawyer. Have it checked before going live.

Who we are

Quadzera is a software development company registered as an MSME (UDYAM-WB-02-0056209) and registered at Bankura, West Bengal, India - 722102, working remotely. You can reach us at info@quadzera.com.

What we collect

We collect only what you send us and what is needed to run the site:

Details you submit through the project inquiry form: name, email, phone or WhatsApp number, company, project type, business type, budget range, timeline, current website and your project description.
Your affirmative enquiry confirmation, the privacy notice version (2026-10-12-v3) and the server-recorded confirmation time, included in the enquiry email.
Basic analytics about how pages are used, if analytics is enabled.
Standard server logs, including IP address, which we also use to rate-limit the contact form against abuse.
For spam prevention, hashed network and recipient email identifiers, enquiry fingerprints and attempt timestamps are held in server process memory for up to 24 hours. Hosting request and security logs follow the provider’s retention settings.
The server checks email domains using DNS queries containing the domain only; results are cached in process memory for up to 15 minutes. Phone numbers are validated locally and on the server using numbering rules for the selected country. Neither check verifies ownership or whether a particular mailbox or number is active.

Enquiry consent and email processing

Before you submit, the form presents an enquiry-specific privacy notice and an unchecked confirmation. You choose whether to authorise us to respond by email, phone or WhatsApp, discuss your project and send one automated welcome email about our services and process. Cancelling sends no enquiry, and we do not treat reading the policy as consent.

This form has no enquiry database or CRM. It keeps an unsent draft only in page memory, not browser storage. Submitted details are sent through Brevo to our team’s email inbox. The email provider, Brevo and hosting provider process the information; email content, delivery logs and backups can be retained in those systems. No website database does not mean no personal data storage or processing.

Please do not submit passwords, payment credentials or personal information about other people in the project description. We request only the details needed to respond to your enquiry.

Why we collect it

Inquiry details are used to respond to your enquiry and to scope and quote the work you have asked about. Analytics is used to understand which pages are useful. Server logs are used for security and to keep the site working.

We do not sell your data, and we do not use your inquiry details for unrelated marketing.

How long we keep it

Enquiry emails that are not part of an active project are kept for up to 6 months from submission, then reviewed and deleted from the mail systems we control. Active project records follow the project agreement and applicable legal retention requirements.

Brevo and email-provider logs or backups follow their configured retention and contractual obligations. This form does not automatically delete third-party email copies. We handle erasure requests through the providers and systems we control, subject to applicable legal requirements.

Google Maps and reviews

Where this site displays Google reviews, that content is retrieved from the Google Maps Platform and remains subject to Google's terms. Reviews are shown unmodified and attributed to their authors, with links to the original review on Google Maps.

Your use of Google Maps content on this site is subject to the Google Privacy Policy and the Google Maps Platform Terms of Service.

Third parties

We use a small number of services to run this site: a hosting provider, Brevo to deliver inquiry notifications and a welcome email in response to your enquiry, and optionally Google Analytics and the Google Maps Platform. Each processes data only as needed to provide its function.

Your rights

To withdraw enquiry consent, request access, correction or erasure, or raise a privacy grievance, email info@quadzera.com. We will review your request and may ask for proportionate information to verify that it concerns your data.

Withdrawal stops future enquiry processing unless continued retention is required by law. It does not reverse processing already completed or recall emails already sent. Withdrawing consent may mean we cannot continue responding to or scoping your enquiry.

You can exercise applicable nomination and statutory grievance rights under the law. If you remain dissatisfied after contacting us, you may use the applicable complaint route, including the Data Protection Board of India when available. Contact us if you need this notice in another language.

Cookies

This site does not set advertising cookies. If analytics is enabled, it may set cookies to distinguish between visits. You can block cookies in your browser without losing access to any content on this site.

Changes

If this policy changes we will update the date at the top of this page.
